Sec. 900-19: Guidelines for Scheduling General Assignment Classrooms for Academic Instruction

A. Purpose and Scope


Classrooms for scheduled instruction and examinations are to be assigned by the Registrar in consultation with the department chairperson or designee. The primary goal of these guidelines is to maximize room and seat utilization.

B. General Guidelines


  1. Priority in general assignment classrooms is determined by the Provost and Executive Vice Chancellor or designee (see Room Reservation Priority).
  2. Departments are instructed to schedule classes in their priority rooms before requesting other rooms.
  3. Room requests should be made on the basis of anticipated enrollment being equal to or greater than 80 percent of the room capacity. The Registrar will assign rooms based upon this principle.
  4. Normally, 3-4 unit courses must be scheduled for three 50-minute periods per week (as Monday-Wednesday-Friday) beginning on the hour from 8:00 a.m. to 6:50 p.m. or two 80-minute periods per week (as Tuesday-Thursday) from 8:00 a.m. to 6:20 p.m. In general, the 80-minute classes should be restricted to Tuesday-Thursday. Normally, 5 unit courses are scheduled daily for 50-minute periods per week (as Monday-Tuesday-Wednesday-Thursday-Friday) beginning on the hour from 8:00 a.m. to 6:50 p.m.
  5. Three-hour courses will be scheduled after multi-day courses are scheduled and one-hour discussions will be scheduled last.
  6. Specialized facility needs, such as laboratory demonstrations and unique media services needs, will be considered and accommodated whenever possible. However, maximum room utilization must take precedence.
  7. Requests which underutilize space will be scheduled at less popular hours or after other scheduling needs have been met.
  8. Classes and examinations are to be held at the times and places officially scheduled by the Registrar.

C. Resolution of Problems


Any conflicts not resolved using the above guidelines will be settled by the deans' designees from the applicable schools or programs and the Provost and Executive Vice Chancellor's designee.
